DSS, Inc. Enhances VA Workflow Tool to Manage COVID-19 Testing and Patient Communication

To support our nation’s Veterans, DSS, Inc. has created several updates to existing solutions in response to the COVID-19 crisis.

Consult Tracking Manager (CTM), our leading customizable VA workflow system, is built to eliminate natural barriers between multiple VA administrative user groups and ensure that Veterans are scheduled for required consults and follow-ups related to COVID-19.

Our CTM team has worked tirelessly to build a dashboard that shows the growing number of COVID-19 patients. This will assist administrative staff who may be overwhelmed maintaining manual lists. Veterans being tested or treated, such as community care patients requiring follow-up consults, and all related actions, can be easily logged. This provides enhanced administrative reporting and better overall service to the Veteran. CTM reports can also be used for data handoff to clinicians treating patients, who must currently rely on sophisticated data mining tools dedicated to this purpose.

Key CTM functions that assist VA users with COVID-19 are as follows:

  • Real-time COVID-19 case tracking dashboard designed specifically for PACT and outpatient care coordination activities

  • Identify cases by lab result, health factor, or PRF flags

  • Quickly view labs waiting for collection and/or resulting

  • Provide real-time results to patients without the need of View Alerts

  • Data grouping aids in identifying specific trends in COVID-19 resource management

  • Integrated COVID-19 tracking functions on consults and RTCs allow for better management of appointment rescheduling and backlog management

CTM is a VistA-integrated solution that provides real-time, up-to-date dashboard views of the status of all consults, displayed by service line. Users can take necessary actions on the consult from within the dashboard without going to CPRS, and all data is maintained in VistA in the appropriate files. Standard comments are available within CTM, and specific ‘Call’ and ‘Letter’ actions allow the application to track productivity and alert users when calls or letters are due, rather than requiring a review of the consult activity log within CPRS.

Users can view linked appointments or create links if scheduling clerks miss this step. Specific Order types can be managed in CTM, such as Return to Clinic (RTC) orders, and now COVID-19-related orders.
